Author Instructions for Preparing Final Manuscripts

(This applies to papers that have been reviewed and accepted by JCISE. Requirements for initial submission can be found in Paper Submissions.)

What to submit?

Final manuscript material for a paper that has been accepted can be submitted to eLANE. Go to "Check Status" under Author Instructions. If you have an accepted paper for which the final manuscript has not been submitted, the "Submit Manuscript" button will appear next to its listing. Click on this button. You will be asked to upload 3 files:


    1. An editable text file (Word or Latex) containing text only, including References, but no figures. Tables without graphics can be included. Also a List of Figures and Tables should be included in the Text File.
    2. A single zip file that contains all the figures/graphics saved individually. First put each figure in a separate file and name them Fig1, Fig2, ... etc. Acceptable formats are TIFF, PS, EPS (Postscript). Then ZIP all figure files into a single file and upload to eLane. It is best to make the figures the same size as you would want to see in the final printed paper. If figures are in multiple files (labeled by figure number) put them in a single ZIP file. If a figure needs to be lined up with multiple parts, for example, (A), (B), (C), (D), then it MUST be sent as one file. Tables may be included in the figure file.
    3. A print file with both text and figures (PDF) which MUST contain text, tables, and figures in proper places.
    4. Optional: A list of changes made to the final manuscript (Word/PDF)

When submitting the final manuscript, authors are walked through download of Form 1903 (Copyright Transfer). You must printout the copyright transfer form (1903), get it signed by all authors and fax directly to Tara Smith at ASME (212-591-7292). The manuscript will not be processed without this.

When uploading the final manuscript, authors can change the paper title, number of words, figures, co-author list.

Authors can submit a list of changes/response as a separate file when uploading the manuscript.

FORMAT INSTRUCTIONS (for final manuscript)

WORD Outline

Use document outline to identify headings, sub-headings, body text, title, figure-caption, table-caption, equation, etc. The particular font used, spacing, style etc. is NOT important. ASME can use its own template to typeset.

Title

The title page of the paper should include the names of all authors, showing professional affiliation and mailing address for each author. The grade of ASME membership for each author should be shown on the cover page of the paper or stated in the letter of transmittal from the corresponding author. If the author(s) have no ASME membership, this should be noted as well.

Abstract

A short abstract (50 to 100 words) should precede the introductory section of the paper.

Notation

All notation should be clearly defined in the text. Papers and Notes are normally printed without nomenclature lists, unless explicitly included by the author.

Units

Use SI (Metric) units. Values in English units may be included in parentheses.

Main Body

The text of the paper should be in single column format and with margins of at least 2.5 cm. ASME will re-format as needed.

Tables & Figures

Please note, in the event problems are encountered with electronically submitted illustrations, the figures will be extracted from the PDF file (print file).

ASME can accept TIFF (lzw compressed), PS, and EPS (Arial or Times Roman fonts) files. ASME cannot accept application files, i.e., Corel Draw, Microsoft Word, etc. If figures are in multiple files (labeled by figure number) put them in a single ZIP file. If a figure needs to be lined up with multiple parts, for example, (A),(B),(C),(D), then it MUST be sent as one file. Tables may be included in the figure file.

ASME will print all artwork in black and white in its journals unless the author agrees to pay the additional charges for color in print. For our on-line version, ASME will publish in full color at no additional cost to the author. Please send your artwork in full color and black/white if possible, adhering to the following guidelines.

Tables and figures should be placed after the references in the manuscript and should be preceded by a List of Figures and/or Tables. Tables and figures should be numbered consecutively and appropriately titled. They should be planned for reduction to single column width (8.5 cm) in the Journal. It is acknowledged that some (wide) figures will have to span across both columns in the journal. However, authors should make an attempt to avoid such situations as much as possible. The lettering on the drawings must be large enough to be clearly legible when the illustration is reduced. Figures in the form of digital photographs may also be submitted.

The composition of photographs should also be suitable for final size of single-column width. It is best to prepare illustrations in the final published size, not oversized. Each illustration should be prepared for 100% reproduction in order to avoid problems arising from large reductions in size during scanning. This is especially important for screened or shaded illustrations; reduction of screened/ shaded originals during the digitizing process introduces a MoirČ pattern.

Ensure a minimum of 8-point type size (2.8 mm high; 1/8 in. high) and 1-point line width within illustrations (a 3-point line width if reduction is required). Avoid inconsistencies in lettering within individual figures, and from one figure to the next. Avoid small open symbols that tend to fill in if any reduction is necessary.

It is important that the following instructions be followed precisely for the graphics files to be utilized in the initial journal production process.

  1. Size your illustrations according to the journal specifications for column width. Submit each illustration at the final size in which you would like it to appear in the journal. Each illustration should be prepared for 100% reproduction.
  2. Final published size: single-column illustration = 3.25 in. (width), 9 in. (maximum length); two-column illustration (full page width) = 6.75 in. width, 9 in. (maximum length).
  3. Avoid submitting illustrations containing small axes with oversized labels.
  4. Ensure that line weights will be 0.5 points or greater in the final published size. Line weights below 0.5 points will reproduce poorly.
  5. The graphic should be sent with the correct orientation.
  6. Set the graphic for 600 dpi resolution for line art, 264 dpi for halftones, and 600 dpi for combinations (line art + halftone).
  7. Save line art as black/white bitmap; not grayscale.
  8. Save halftones and combinations as grayscale, not black/white bitmap.
  9. Submit color files at 300dpi TIFF, PS, or EPS format. If selecting a file mode, use CMYK (Cyan, Magenta, Yellow, Black) or RGB (Red, Green, Blue); CMYK is preferred.
  10. Set the bounding box to image to avoid excess white space around the image.
  11. Submit ALL illustrations for each article, including line art.
  12. Make sure there is only ONE figure per file. Each figure file should contain all parts of the figure. For example, if Figure 1 contains three parts (a, b, c), then all of the labeled parts should be combined in a single file for Figure 1. 8 pt. labels are preferable.
  13. Each file should be named with the Figure number, the primary author last name, and the journal abbreviation.
  14. Check files for extraneous information. Edit out any figure captions or e-mail headers. The only data in the file should be the figure itself.

Mathematical Expressions

Authors are cautioned that math expressions cause the biggest problems in typesetting. Care should be taken to distinguish between capital and lower-case letters, between zero (0) and the letter (O), between the numeral (1) and the letter (l), etc. A letter representing a vector cannot be printed with an arrow above or below it. The letter should be underscored with a single wavy line wherever it appears in the text, to designate boldface type. Please indicate all bold characters. Equations should be numbered consecutively with equation numbers enclosed in parentheses at the right margin of the page. In the text, reference to an equation should be in the form of an equation number enclosed in parentheses.

References (NOTE: New ASME requirements)

Acceptable references include: journal articles, dissertations, published conference proceedings, numbered paper preprints from conferences, books, reports available from the U.S. Government, submitted articles if the journal is identified, and private communications.

Text Citation Within the text, references should be cited in numerical order according to their order of appearance. The numbered reference citation should be enclosed in brackets.

Example: It was shown by Prusa [1] that the width of the plume decreases under these conditions.

In the case of two citations, the numbers should be separated by a comma [1,2]. In the case of more than two references, the numbers should be separated by a dash [5-7].

List of References References to original sources for cited material should be listed together at the end of the paper; footnotes should not be used for this purpose. References should be arranged in numerical order according to the sequence of citations within the text. Each reference should include the last name of each author followed by his initials.

(1) Reference to journal articles and papers in serial publications should include:

  • last name of each author followed by their initials
  • year of publication
  • full title of the cited article in quotes, title capitalization
  • full name of the publication in which it appears
  • volume number (if any) in boldface (Do not include the abbreviation, "Vol.")
  • issue number (if any) in parentheses (Do not include the abbreviation, "No.")
  • inclusive page numbers of the cited article (include "pp.")

(2) Reference to textbooks and monographs should include:

  • last name of each author followed by their initials
  • year of publication
  • full title of the publication in italics
  • publisher
  • city of publication
  • inclusive page numbers of the work being cited (include "pp.")
  • chapter number (if any) at the end of the citation following the abbreviation, "Chap."

(3) Reference to individual conference papers, papers in compiled conference proceedings, or any other collection of works by numerous authors should include:

  • last name of each author followed by their initials
  • year of publication
  • full title of the cited paper in quotes, title capitalization
  • individual paper number (if any)
  • full title of the publication in italics
  • initials followed by last name of editors (if any), followed by the abbreviation, "eds."
  • publisher
  • city of publication
  • volume number (if any) in boldface if a single number, include, "Vol." if part of larger identifier (e.g., "PVP-Vol. 254")
  • inclusive page numbers of the work being cited (include "pp.")

(4) Reference to theses and technical reports should include:

  • last name of each author followed by their initials
  • year of publication
  • full title in quotes, title capitalization
  • report number (if any)
  • publisher or institution name, city

Paper Length

By directive of the Policy Board on Communications, all contributions to JCISE are subject to the maximum length limitations with nine pages as the preferred maximum length for full papers. JCISE has adopted the page limitation summarized in the following table to allow proper publication of scholarly activites in the field of Computing & Information Science applied to mechanical product development. The preferred length for regular research papers is nine pages, and the maximum excess page charge by ASME. There are no minimum length requirements.

Page Charges

A paper accepted for publication in the Transactions of ASME is subject to a voluntary page charge of $75 per journal page which will be invoiced, through the corresponding author, to the author's institution, company, or agency. Publication is not dependent on payment of the voluntary page charge. A paper accepted for publication in the Transactions of ASME that exceeds the maximum length guideline of nine journal pages is subject to a mandatory long-paper page charge of $200 per page for each page over nine journal pages. Such a paper will not be published until the corresponding author agrees to honor the mandatory page charge which will be included, as a separate item, on the page charge invoice.

Reprints

Papers that have been accepted for publication in the Journal and that are scheduled for presentation at a forthcoming ASME conference are preprinted in advance of the conference. The author of a preprinted paper is entitled to 25 preprints free of charge. If the voluntary page charge is honored, 100 reprints of the paper are provided to the author(s) upon publication of the article in the Journal at no additional cost to the author(s).
Reprints may be ordered from the ASME Reprint Department, Three Park Avenue, New York, NY 10016-5990. A reprint order form will be sent to the corresponding author after the article is typeset. All reprint orders must be prepaid. Quotations for large quantities of reprints will be sent upon written request to the Reprint Department.
